💻
The copier stores scanned documents on its own internal drive. Authorized users open the copier’s network share, web interface or document utility to download the files.
| Traditional scan folder | Copier storage folder |
|---|---|
| The copier writes files to a Windows or server share. | The copier stores files on its own internal drive. |
| The destination computer must remain available. | Users can retrieve files while the copier remains online. |
| The computer exposes a writable network folder. | The user’s hard drive does not need to be shared. |

SMB
🌐
🔐
- Print the copier’s configuration page and record its model, firmware and network address.
- Confirm that the copier has an internal storage device or document-storage option.
- Confirm that the model supports sharing an internal box through SMB, Web Connection or a supported document utility.
- Check which SMB versions the copier supports. Use SMB2 or SMB3 whenever available.
- Confirm that TCP port 445 is allowed only on the trusted local network.
- Check storage capacity, file-size limits, retention settings and supported scan formats.
Not every copier with a User Box can expose that box as an SMB network share. Some models allow retrieval only through the copier’s web page or manufacturer utility.

📁 User Box
On supported bizhub models, Share SMB File allows the machine to act as an SMB server and share documents stored in a Public User Box.
- Open the copier’s Web Connection page by entering its network address in a browser.
- Sign in as the copier administrator.
- Open Network, SMB Setting and SMB Server Settings. Exact wording varies by model.
- Turn on SMB Server Settings and Share SMB File.
- Select SMB2 or SMB3 when the device provides a protocol-version setting.
- Apply the changes and restart the network service or copier if requested.
Do not enable SMB1 merely for convenience. Update the copier firmware or use web retrieval when the device cannot securely share its storage through SMB2 or SMB3.
Create the scan repository

📁 Scan Folder
➜
🔐
- Open User Box, Box Registration or User Box List.
- Create a new Public User Box.
- Name it Scan Folder or another clear department name.
- Assign a unique box number supported by the copier.
- Create a strong password that is different from the administrator password.
- Enable Share SMB File for this box when the option appears.
- Set automatic document deletion, such as one to seven days, when business requirements permit.
- Set a storage quota when the copier supports one.
- Save the box and record its approved network share name.
Avoid a box number and password such as
999999999. Anyone who learns that predictable combination could access confidential scans.
Recommended account design
| Setting | Recommended value |
|---|---|
| Box name | Clear purpose, such as Accounting Scans |
| Box number | A unique number rather than a common repeated value |
| Password | Unique, long and unrelated to the box number |
| Access | Restricted to the users or department that need the scans |
| Retention | Automatic deletion after the shortest practical period |
| Network | Trusted VLAN with TCP 445 blocked from other networks |
| Protocol | SMB2 or SMB3 |
| File format | Searchable PDF when OCR is installed, otherwise PDF |
The share may allow users to rename or delete documents. Do not describe it as read-only unless the exact copier model provides and enforces a read-only permission.
Register the scan destination
📒
➜
Scan Folder
➜
📁
- Open Address Book, One-Touch Registration or Scan Destination Registration.
- Select User Box as the destination type when available.
- Search for or select the Public User Box created earlier.
- Enter a display name such as Scan Folder.
- Add the destination to Favorites when staff will use it regularly.
- Choose PDF as the default file format.
- Set a practical default resolution such as 200 or 300 dpi.
- Save the destination.
Some models display User Box as a separate scan destination instead of storing it as a normal address-book contact.

\\COPIER
➜
📁
- Press Windows key and R.
- Enter
\\copier-IP-addressor\\copier-hostname. - Select the share that corresponds to the Public User Box.
- Enter the copier storage account, box number or credentials required by that model.
- Open the folder and confirm that the test PDF appears.
- Copy the PDF to the user’s normal document folder.
- Confirm whether users can only download or can also rename and delete files.
The exact share path and username format vary by copier family. Use the path displayed in Web Connection or the model’s Share SMB File documentation.
Map the copier folder in Windows
- Open File Explorer and select This PC.
- Select the three-dot menu, then Map network drive.
- Choose an unused drive letter.
- Enter the complete copier share path, such as
\\copier-hostname\share-name. - Enable Reconnect at sign-in only for trusted, assigned computers.
- Select Connect using different credentials when the copier requires separate credentials.
- Enter the approved copier box account and password.
- Select Finish and verify the test PDF.
Do not map a shared copier box permanently on public computers. Stored credentials can expose every scan in the box.

- Disconnect after use on shared workstations.
Command-line testing when Samba client tools are installed:
smbclient -L //copier-hostname -U approved-user
Do not place passwords directly on the command line. They can appear in shell history or process information.
Phone and tablet access
| Device | Recommended method |
|---|---|
| iPhone or iPad | Files app, Connect to Server, then enter smb://copier-hostname when the copier supports modern SMB |
| Android | A trusted file manager with SMB2/3 support or the copier manufacturer’s document app |
| Any modern browser | Copier Web Connection or document portal when supported |
Mobile operating systems may not connect to older SMB1-only copiers. Use the copier’s web interface, scan to email or an isolated modern relay instead.
Security and privacy controls
🖨️
➜
🔑
🛡️
⏲️
- Use SMB2 or SMB3 and current copier firmware.
- Restrict TCP port 445 to approved local networks.
- Use a separate User Box for each department or security group.
- Use unique box numbers and passwords.
- Enable encryption of the copier’s internal drive when available.
- Enable automatic deletion and storage quotas.
- Do not store medical, financial or personnel records longer than necessary.
- Enable audit logging when the copier provides it.
- Erase stored documents before disposal, lease return or drive replacement.
The copier becomes a file server when Share SMB File is enabled. Protect it with the same care as a NAS or business file server.
